We are delighted to announce Victory Legal Costs Solicitors, the costs recovery arm of Hayward Baker Solicitors, have been shortlisted for the “Sustainability Initiative of the Year” Award at the Claims Innovation Awards to be held at the Hilton Manchester Deansgate Hotel on Thursday 5th May 2011.

Victory Legal has seen substantial growth over the last three years and now acts for more than 20 Firms nationwide.
All staff has an understanding of the Firm’s defined goals. This is communicated by circulation of the annual business plan that details financial and operational objectives for the year ahead. This understanding is reinforced by regular team meetings, both Firm wide and within smaller groups. This promotes both trust and openness. Full internal training and support to achieve the defined goals is provided. Further, senior staff are encouraged to attend external training courses to develop their technical expertise together with managerial and team building skills.
Keith says “the importance of internal communications is never underestimated. We have developed an extensive “intranet”. This allows team members to be kept fully informed of any issues or developments relevant to our defined goals on a daily basis. The use of linked actions ensure a standard and consistent Firm wide approach. Extensive reporting facilities are also available to clients so they can monitor performance against agreed service standards. We are also wholly committed to a “Green” initiative. Through ICT, we seek to reduce our carbon footprint and waste whilst saving costs and providing an optimum service level to our clients”.

Keith continues, “we set out to be paperless. We have achieved this as far as practicable. We do not print file copies of outgoing letters or documents. Further, all draft letters created by junior staff are saved electronically in case history for approval by supervisors before printing. Once approved they are printed only once for sending or, if possible, emailed. All incoming post is scanned into the system. This in itself will not reduce paper usage. However, all our staff and approved visitors having access to Proclaim, can view a scanned document. This alleviates the need for multiple copies. We email where possible and do not print copy documents unless absolutely necessary. We aim to send and receive data electronically wherever possible. We recognise many clients now prefer this communication medium.
Through an innovative approach of utilising the electronic import of entire files from clients, we are able to significantly increase the speed of file receipt and reduce DX/postage costs. Further, no paper file is created and there is no carbon footprint for delivery and return of files. We also identified File View as a system that would allow clients to access our database in a managed secure way. This facilitates external monitoring of a matter and again reduces our carbon footprint in a cost efficient way.
